Google Calendar, now on the phone too

The diary the whole team already uses stays the only one. heydiga checks the free slots before promising anything and writes the appointment in before hanging up.

The diary is up to date; the phone never looks at it

Google Calendar knows exactly when you are free. The trouble is that whoever picks up the phone cannot always check it.

Today
  • Whoever answers offers a time from memory and then finds out it was already taken.
  • The appointment goes on a note and somebody moves it to the calendar later. Or forgets to.
  • Two people take two calls and give the same time to two different customers.
With heydiga
  • It reads the calendar before saying anything and only offers slots that genuinely exist.
  • It is written into Google Calendar before hanging up, with the reason and the caller's number.
  • It takes the slot there and then, so the second call no longer sees it free.

What it reads and what it writes

The connection runs both ways: heydiga checks the diary before promising a time and writes to it the moment it is agreed.

Reads from Google Calendar
  • Free slots and hours already taken.
  • Opening hours, bank holidays and closures.
  • The calendar of each person on the team.
  • How long each kind of appointment usually runs.
Writes to Google Calendar
  • The new appointment, in the diary of whoever will take it.
  • Name, phone number and reason for the call.
  • Changes of time and cancellations.
  • A summary of the call inside the appointment itself.

Fifteen minutes and it is done

No new diary, no technical help and without moving a single appointment you already have.

What people ask before giving access to the diary

The five questions of somebody who already has their diary set up and does not want anybody making a mess of it.

Can heydiga see my whole Google Calendar?

No, heydiga only sees the Google Calendar calendars the business points it to when connecting it, and the one it writes to is chosen too; personal calendars and any others stay out. Access is authorised from the Google account itself and is a permission that can be revoked from that same account at any time.

What if the team keeps writing appointments into Google Calendar by hand?

That is fine: heydiga reads everything in Google Calendar, whoever wrote it, and never offers a time that is already taken. It also takes the slot the moment it gives the appointment, so if two calls ask for the same time, the second one no longer sees it free.

Can heydiga move or delete appointments that already exist in Google Calendar?

heydiga only moves or cancels the Google Calendar appointments it has handled by phone, and always leaves a record of the change. It does not touch the ones written in by someone on the team. Every appointment it creates includes the caller's name, phone number and reason, and a summary of the call inside the appointment itself.

Does it work if each professional has their own Google Calendar?

Yes, heydiga connects one Google Calendar per professional and writes each appointment into the calendar of whoever will take it. It reads each team member's calendar, the opening hours, bank holidays, annual leave and how long each type of appointment lasts, so it only offers slots that genuinely exist.

Does heydiga work with Google Workspace and with a regular Google account?

heydiga works with Google Calendar on both Google Workspace and a regular Google account. The only thing that changes is who authorises access: on Workspace it is usually the administrator. Either way the connection takes about fifteen minutes, with nothing to install and without moving any of the existing appointments.
