Timp, now on the phone too

It handles classes, sessions and packages, with capacity control. heydiga answers the calls and the WhatsApp messages Timp does not pick up, and writes into Timp before hanging up.

Places fill themselves; questions do not

Timp runs the classes, the capacities and the packages. But before booking, people ask, and asking means calling.

Today
  • Whoever wants to know if there is a place left in the seven o'clock session calls, because opening the app to look is more effort.
  • A last-minute drop-out leaves a place free and nobody has time to offer it.
  • They ask how many sessions are left on their package and somebody has to look it up with the client waiting.
With digalook
  • It checks the real capacity in Timp and tells them whether there is room, in the same call.
  • It alerts whoever is on the waiting list and fills it again before the session starts.
  • It reads the package in Timp, answers and, if it is nearly used up, offers to renew it.

What it reads and what it writes

The connection runs both ways: digalook checks Timp before promising anything and writes into Timp the moment it closes.

Reads from Timp
  • Places available in each class or session.
  • Timetables, professionals and rooms.
  • Active packages and each client's remaining sessions.
  • The waiting list for full sessions.
Writes into Timp
  • Sign-ups to the session, respecting capacity.
  • Session changes and cancellations.
  • Additions to and removals from the waiting list.
  • Call notes in the client's record.

Fifteen minutes and it is done

What everyone on Timp asks

The five questions of someone who already runs their classes and just wants to know whether this fits.

Does it replace Timp?

No: Timp still runs the classes, sessions, capacities and packages, and digalook, heydiga's AI receptionist, is the one who answers the phone and books places in it. Every sign-up, session change or cancellation is written into Timp before hanging up, on the same session grid as always.

Can it go over a session's capacity in Timp?

No. digalook checks the free places in each class or session in Timp at the moment of the call and never gives out a place that does not exist. Whoever calls to ask whether there is room in the seven o'clock session gets the answer on the same call, and sign-ups are written into Timp within capacity.

Does it manage the Timp waiting list?

Yes. digalook adds whoever misses out on a place to the Timp waiting list and, when someone cancels, alerts the person waiting so the session fills up again before it starts. Additions to and removals from the list are written into Timp. The plans section shows which plans include waiting-list management.

Does it know how many sessions a client has left?

Yes. digalook reads each client's active packages and remaining sessions in Timp and tells them over the phone, without anyone having to look it up while the client waits. If the package is about to run out, it offers to renew it on the same call.

And if I swap Timp for other software one day?

digalook connects to the new software and reads classes, capacities, rooms and timetables again, without loading anything by hand. Clients keep calling the same number to ask whether there is room, and the answer now comes from the new grid. The permission granted in Timp can be revoked from the account itself at any time.
